Managing Permissions

Permissions are extremely important when setting up users within the created workspace. Different permissions fall under different roles and determine what access and capabilities are granted to each user.

Permission definitions and what they mean:

Detailed lists are available on the permissions page located under the manage menu in the left sidebar. After selecting a role, a list of abilities will appear with indicators as to what that selected role has access to.

System Roles

Owner

An owner has the ability to perform any action within the workspace, including all actions pertaining to billing. If the owner were to ever transfer ownership to a different user (see how to transfer ownership article) they would automatically lose all access to actions allowed under this permission group. This action cannot be undone.

Administrator

An administrator enjoys similar access to an owner, however, they are not permitted access to anything billing-related.

User

The user is granted access only to their own information and does not possess the ability to delete any entered data.

Read

A read-only user with view-only permissions, who is restricted from making any edits to the system's data.

Creating Custom Roles

Custom roles can be tailored to suit the specific needs of your company. To create a custom role, follow these steps:
  • Select  'CREATE' 
  • Provide a title for the role you are creating (e.g., 'Specialist') and a brief description.
  • Choose an existing role from the 'Copy from existing' dropdown that closely matches your custom role and click 'Submit'.
Once your role is created, you can further customize its permissions. Simply select the newly created role and toggle the specific permissions on or off according to your preferences.

Assigning Roles

Assigning roles can be done when inviting a new user or anytime after the user has been created. Depending on the permission the user is granted, the user may have the ability to change their own permissions at any time. If a role is changed that no longer permits changing permissions for their own account, this action cannot be undone and the user will then have to contact support for assistance.
