Customer Appointments

Managing customer appointments allows you to track scheduling history, view upcoming appointments, and maintain organized records for each customer.

How to view customer appointments

To view all appointments for a specific customer:
  • Navigate to the Customers page
  • Find and click on the customer whose appointments you wish to see
  • Select the "Appointments" tab
This page displays both past and current appointments for the customer. You can view appointment details including date, time, service, resource, and status.
Note: Past appointments are displayed according to your subscription's data retention policy.

Creating appointments for customers

To create a new appointment for a customer:
  • From the customer's profile, click "New Appointment" or navigate to the Calendar view
  • Choose the service to be provided
  • Assign resources (staff, location, equipment) as needed
  • Select the date and time for the appointment
  • Set the appointment status
  • Add any notes or special instructions
  • Click "Create" to save the appointment
The customer will be notified of the appointment based on your notification settings.

Editing customer appointments

To modify an existing appointment:
  • Locate the appointment in the customer's appointment list or on the calendar
  • Click on the appointment to open the details
  • Make your changes to date, time, service, resources, or status
  • Click "Save" to update the appointment
Both you and the customer will be notified of any changes to the appointment.

Cancelling or rescheduling appointments

To cancel an appointment:
  • Open the appointment details
  • Change the status to "Cancelled" or click the "Cancel" button
  • Optionally add a cancellation reason in the notes
  • Confirm the cancellation
To reschedule an appointment, edit the appointment and change the date and time to the new slot.

Appointment history

The appointment history shows all past interactions with the customer, including:
  • Completed appointments
  • Cancelled appointments
  • No-show appointments
  • Rescheduled appointments
This history helps you understand customer patterns and improve service delivery.
